Recording Damaged or Incomplete Goods

A useful receiving record describes the observed condition, affected quantity and order reference without guessing at the cause.

Practical Considerations

Keep the merchandise and packaging identifiable while the issue is discussed. Follow the agreed reporting procedure and request instructions before disposing of packaging or returning goods.

Suggested Procedure

  1. Identify the affected item and quantity.
  2. Record the condition with clear photographs where appropriate.
  3. Refer to the order's reporting arrangements.

Illustrative Example

If three frames have damaged corners, record the frame size, carton reference and number affected. A message saying some items are damaged is harder to resolve.

Points to Check

Do not promise a refund, replacement or deadline that has not been agreed. The record supports the discussion and preserves the facts available at receiving.

Working Record

Use the receiving discrepancy report to put the relevant information in one place. You can complete it in your browser, save a text copy or print a blank form for use in the store. Entries are not submitted to RuralAttune.
