Quotation Dates and Validity

A quotation is a record of an offer made under stated conditions at a particular time. Prices, availability and proposed dates may need reconfirmation later.

Practical Considerations

Record the issue date, any stated validity period and the assumptions used. If no validity information appears, ask rather than treating the quotation as open-ended.

Suggested Procedure

  1. Save the issue date and reference.
  2. Record any expiry or reconfirmation condition.
  3. Check changed quantities or variants before acceptance.

Illustrative Example

A buyer who changes from one color to a mixed assortment may need a revised quotation even within the original date range. The product mix is part of the basis of the price.

Points to Check

Keep the accepted version distinguishable from earlier drafts. A short revision log can prevent staff from receiving against the wrong proposal.
