Recording Variants and Colors
Each size, color or design that must be supplied in a particular quantity should have its own entry in the order record.
Practical Considerations
Use the supplier's reference as well as a plain-language description. Color names alone can vary between listings, and a photograph may be affected by lighting or display settings.
Suggested Procedure
- Create one line for each required variant.
- Add the supplier's reference and an image where useful.
- Make the line quantities add up to the order total.
Illustrative Example
A pouch order of ninety units might require thirty navy, thirty gray and thirty burgundy. Writing only assorted colors leaves that distribution unresolved.
Points to Check
Record how substitutions are to be handled. Do not let a general assortment description override quantities that were specifically agreed.
