Writing a Purchase Brief

A purchase brief brings the main requirements into one document so the inquiry does not depend on details scattered across messages.

Practical Considerations

Include the store, product reference, selected variant, saleable quantity and intended arrival date. Add the questions that must be answered before the buyer can proceed.

Suggested Procedure

  1. Identify the exact item and options.
  2. State quantity and destination.
  3. List unresolved specifications and timing requirements.

Illustrative Example

A brief for gift bags might name three sizes, give quantities for each, and specify whether tags are required. That is clearer than requesting a mixed carton of bags.

Points to Check

Keep the brief as a request for information until an order has actually been agreed. Sending it should not be described as placing an order.

Working Record

Use the purchase brief to put the relevant information in one place. You can complete it in your browser, save a text copy or print a blank form for use in the store. Entries are not submitted to RuralAttune.
